Thirty minutes keeps you current only when each day already closes properly. The weekly routine does not recreate lost receipts: it collects, reconciles and isolates exceptions. Its job is not to produce the balance sheet, but to make the week intelligible before detail fades.

Set the timer
- 0–5: collect and name evidence.
- 5–10: reconcile sales and tenders.
- 10–15: check bank and deposits.
- 15–20: file purchases and payouts.
- 20–25: scan customers, suppliers and stock.
- 25–30: log exceptions, export and back up.
Before starting the timer
Prepare one weekly folder, a temporary physical inbox and one exception sheet. Cash closes, card slips, bank reports, supplier invoices and payout evidence should arrive continuously.
- Reject evidence with no date or owner.
- Photograph thermal receipts before fading.
- Retain an original where needed.
- Use YYYY-MM-DD-supplier-amount naming.
- Distinguish missing evidence from unidentified payment.
The CGNC requires dated, filed source evidence linked to entries. Naming is the practical route to that outcome.
Minutes 0–15: revenue and treasury
Compare sales with counted cash, card batches and other tenders. Then match bank deposits, allowing only documented timing and fees.
| Control | Expected answer |
|---|---|
| Cash | book till, count and variance |
| Card | gross transactions, fee and settlement |
| Transfer | customer and invoice |
| Refund | sale/credit and evidence |
| Withdrawal | purpose, recipient and document |
Do not make a difference disappear through an invented expense. Leave it visible with an owner and resolution date.
Minutes 15–25: spending, parties and stock
File each purchase after checking supplier, date, purpose, amount and payment. Scan overdue customer invoices, unpaid supplier bills and unusual stock movements.
- Flag likely duplicates.
- Link part-payment to invoice.
- Separate business purchase from owner movement.
- Flag delivery with no invoice.
- Review returns, waste and adjustments.
- Note a possible fixed asset for the accountant.
You do not decide the account or deductibility in 30 minutes; you supply the facts needed for that decision.
Stop the timer when exceptions pile up
If more than a few differences remain, create a separate clean-up session. Artificially keeping the review to 30 minutes does not make the pack reliable.
Minutes 25–30: close the week
Export sales and payments, back up evidence and send a structured note: totals, differences, missing documents and decisions required.
- Green: reconciled and evidenced
- Amber: explained but not yet accounted for
- Red: source or document missing
- Owner: person who must answer
- Due: date before monthly close
BelloPOS can speed up recorded sales, payment and stock totals. The bank statement and supplier evidence remain external sources.
Mistakes to avoid
- Running it without daily closes.
- Editing a total to match.
- Putting purchases into miscellaneous.
- Missing part-payments.
- Overwriting the prior export.
- Leaving red items until month-end.
Frequently asked questions
Does 30 minutes replace an accountant?
No. It prepares clean data and evidence; the professional classifies, posts, reviews and advises.
What if volume is high?
Split by day, till or site and add time. Control quality matters more than the slogan.
Should I select PCGE accounts?
Not without an approved organisation. Describe the transaction and supply evidence; mapping belongs to the chart used.
How is missing evidence handled?
Log transaction, amount, owner and due date; never manufacture a document.
Does BelloPOS reconcile the bank?
It supplies the recorded sales/payment side. Final control also needs bank, processor and accounting records.
What to take away
The routine works when every week becomes a small closed pack: sales reconciled, spending evidenced, differences named and questions transmitted before the next month.
