1. Start from the event, not an old notice
Formation, seat transfer, new manager, capital change, dissolution and other decisions do not require exactly the same notice.

The law governing the form and event remains the reference. A publication portal does not choose the legal content for you.
2. Build a transcription sheet
Put sensitive data on one page before drafting.
- Paste the name and form from the final act.
- Copy the seat with the same address structure.
- Check capital, contributions and allocation where published.
- Summarise the purpose without changing it.
- Identify the officers, authority or mandate concerned.
- Add duration, year end, court and references where required.
- Have a second person validate the sheet.
Do not anticipate an RC, ICE or IF number. Use only an identifier already allocated and required at that stage.
3. Coordinate the two publications
For formations that require them, the file generally combines a legal-notice newspaper and the Official Bulletin. Confirm the authorised channel, order and time limit for your form.

Content depends on form and event
Do not reuse a SARL notice for an SA or an amendment notice for formation. Confirm particulars, channels, order and deadline in the actual file.
4. Correct before or after publication
Before proof approval, send corrected wording and obtain a new validation. After publication, do not hide the error in templates: qualify its impact with the file professional and publish a correction where required.

- Supposedly minor discrepancy: do not decide alone that it has no effect
Update the register or acts only if the error originates in the legal source. A publisher typo and an incorrect original decision need different remedies.
5. Build the evidence file
The published wording must remain findable years after the provider or employee who handled it has gone.
- PDF of sent and approved text.
- Invoice and payment proof.
- Newspaper certificate or copy.
- Official Bulletin notice, issue and date.
- Cross-reference to the act and event.
