Invoicing an individual or a company: what information should you request?

Distinguish B2C receipt, named invoice and B2B invoice, create the right record and collect only necessary identity, address, ICE and contact data.

The customer in front of you may buy personally, for an individual business or for a company. First ask whom the document should identify, then collect only data necessary for that document. A counter receipt does not automatically call for national ID; a B2B invoice must not be issued under the employee who paid when the real buyer is their company.

Sort it with three questions

  • Who is legally the buyer?
  • Does the customer request a receipt, named invoice or company invoice?
  • Which data do the Tax Code and transaction require?
  • B2C: limit collection and retain the receipt where suitable.
  • B2B: exact legal name, address and ICE before issue.
  • Professional individual: identity and trade name from records.
  • Do not use the contact name as the company.
  • Inform, secure and update personal data.

1. Three paths at checkout

Article 145 provides that for sales of products or goods by businesses to individuals, a till receipt can serve as invoice with its minimum indications. A named request or professional purchase calls for a different record.

2. The company record

Create the company before issue, not after payment. OMPIC says ICE contains 15 positions and supplements other identifiers; check identity–address–ICE together, not only length.

  1. Request the exact legal name.
  2. Request validated registered or billing address.
  3. Collect ICE and other applicable references.
  4. Separate contact name from buyer name.
  5. Add email/phone only for necessary follow-up.
  6. Retain the source or confirmation without exposing an unnecessary copy.
  7. Review all 15 ICE positions.
  8. Have the customer confirm the record.
  9. Protect the right to edit legal identity.
  10. Reuse the validated record without re-entry.

3. Consumer record and proportionality

The CNDP states that data must be necessary, proportionate and non-excessive for the purpose. A named invoice may require identity and address; that does not authorise systematically photographing national ID, collecting birth date or reusing phone for marketing without an appropriate basis and information.

Explain why data is requested and correct it when the customer reports an error. Never put CNI, phone or email in a public area of the PDF unless necessary.

The payer is not always the buyer

An employee may advance a card, a courier collect goods and an accountant request the PDF. The invoice should identify the true customer in the transaction. Retain people as contacts, not substitutes for the entity.

4. Change B2C to B2B after sale

The request often arrives after the receipt. Find the sale, create or check the company, then use the workflow that turns the sale into an invoice without retyping lines. Check that an invoice was not already issued.

Do not create a fresh sale merely to obtain a PDF: that can double revenue, stock or payment. Invoice and receipt should point to the same transaction under your procedure.

If identity is wrong after issue, do not silently replace the PDF. Qualify the correction with the accountant and retain original and trail.

  • Requesting national ID from every buyer.
  • Billing the company under the contact.
  • Creating a second sale for the invoice.
  • Entering ICE without matching identity.
  • Reusing email for marketing without a framework.
  • Putting too much data on the PDF.

  • Giving everyone access to records.

Frequently asked questions

Does a consumer always need an invoice?

For some sales of goods to individuals, the receipt can serve as invoice under Article 145. The case and customer request determine the document.

What data should I request from a company?

Legal name, address, ICE and necessary references, with a separate contact. Check the applicable document.

Should I request national ID?

Not by default. Collection must have a purpose and remain proportionate; use of CIN can require CNDP authorisation.

Can I convert a receipt into an invoice?
