A manager pays for a hotel on a personal card, submits three receipts and reimburses themselves: it looks simple. Yet an approved reimbursement proves neither business purpose, invoice regularity nor tax deductibility. The workflow must connect mission, evidence, approval, payment and entry.

- For which mission and people?
- Which original invoice, in whose name?
- Who approved without a conflict?
- What was reimbursed, when and how?
1. Capture spending while it is fresh
For each line record date, supplier, nature, amount, currency, payment method, mission, customer or project and relevant attendees. Attach a readable invoice and payment evidence when those are separate.

‘Business lunch’ is too vague. State purpose, counterparts and file involved without collecting more personal data than needed.
2. Run three controls before reimbursement
The reviewer checks reality, internal policy and the proposed accounting/tax treatment. They also detect duplicates between a company card, advance, expense report and an invoice sent directly by the supplier.
- Confirm the company did not already pay.
- Match amount claimed to evidence.
- Apply internal caps without inventing tax law.
- Separate VAT and tips rather than guessing.
- Query an unexplained route or attendee.
- Reject personal spending cleanly.
An internal cap authorises or limits reimbursement; it does not turn spending into a tax-deductible charge.
3. Reimburse and account without mixing funds
After approval, pay the person who advanced funds using a unique reference. The accountant records the suitable expense or asset and liability to the manager, then clears that liability when reimbursed.
- Limited company: manager advance remains separate from company funds
- Sole trader: personal movement remains distinct from expense
- Travel advance: clear against evidence and balance
- Rejected spending: stays personal, never hidden in till
- Part reimbursement: document reason and difference
Avoid an untraceable cash reimbursement. A bank transfer improves reconciliation but cannot repair an irregular invoice.
Do not self-approve without a rule
In a company, establish independent review or a formal rule for manager spending. Having no other shareholder does not remove evidence and separation.
4. Build the evidence pack
The CGNC requires dated, filed evidence linkable to the entry. For tax, the purchase must be genuine and supported by a regular invoice in the taxpayer’s name. Meals, entertainment, travel and VAT can face their own limits.
- Number report and attachments.
- Retain approval and payment.
- Document currency conversion.
- Trace a correction without deleting the original.
- Refer sensitive cases to the accountant.
- Retain under the company’s legal schedule.
