Separate personal and business money in Morocco: a clean method

Use dedicated banking and till routes, then document owner contributions, drawings, reimbursements and mixed costs without inventing a universal obligation.

Paying a supplier with the family card and taking rent from the till can feel convenient. A month later, nobody knows whether the business owes its owner, a sale is missing or margin vanished. Separation is not only banking: every transfer needs a nature and evidence.

The simple rule

  • One account or route dedicated to activity.
  • A physical till with defined float.
  • No drawing without category and evidence.
  • Owner contributions and withdrawals recorded separately.
  • Mixed costs allocated under an approved basis.
  • Regular bank and till reconciliation.
  • Access and authority suited to legal form.

1. Separate routes before classifying costs

Use a dedicated bank account and payment instruments wherever status, bank and organisation allow or require. Route sales collections and supplier payments through the business. Maintain a till with opening float, inflows, outflows and count. Exact account obligations vary with legal form, activity, bank and current rules; verify your facts instead of repeating one universal sentence.

Owner withdrawalNamed transferNature and approval

A company has assets distinct from shareholders; a sole operator has a different legal analysis but still benefits from a clear trail. Validate accounting and tax treatment of movements.

2. Do not call every outflow an expense

A personal drawing is not automatically a deductible business expense. A contribution is not sales. Expense reimbursement needs professional purpose and evidence. If an owner exceptionally pays a supplier personally, record the appropriate amount due to them instead of creating a false receipt.

Do not make “miscellaneous” a permanent category. Every temporary classification needs an owner and resolution date.

3. Handle mixed costs under a rule

Phone, vehicle or premises may mix professional and private use. Do not assign 100% to business because the business card paid. Define use, allocation driver, documents and approval with the accountant; apply it consistently and revise when facts change.

  1. Identify cost and contract.
  2. Check who is invoiced.
  3. Document professional use.
  4. Choose a causal driver.
  5. Separate private portion.
  6. Validate VAT and deductibility separately.
  7. Record advance or reimbursement.
  8. Archive calculation and evidence.

Payment trace does not prove business use or deductibility. It is one part of the evidence test.

A dedicated account does not make a cost deductible

The route improves evidence. Nature, business purpose, invoice, payment and tax rules still require separate review.

4. Close the exit doors every week

BelloPOS can track sales, cash, refunds and authorised till payouts. Bank and accounting own other flows. Reconcile daily or weekly depending on volume, then approve owner movements separately.

  • Till: count and difference
  • Bank: reference and beneficiary
  • Cost: invoice and purpose
  • Owner: named contribution/drawing/advance
  • Exception: owner and resolution

Set a small petty-cash fund and written policy instead of oral reimbursement. Simple rules protect both business and owner when a difficult month must be explained.

Mistakes to avoid

  • Paying private spend from till.
  • Calling contribution a sale.
  • Calling drawing an expense.
  • Reimbursing without evidence.
  • Putting every difference in miscellaneous.
  • Giving everyone equal authority.

Frequently asked questions

Is a professional account compulsory for everyone?

Requirements depend on form, activity, applicable rules and provider. Verify your position; separation remains good discipline.

How is a personally paid purchase recorded?

Keep invoice and payment proof, then record the owner advance or amount due under the validated treatment.

Can the owner take money from the till?

A withdrawal must follow the rules for the form and be named, approved and recorded so it cannot look like missing sales.

How should a mixed cost be handled?

Document use, apply a consistent driver and separately validate accounting, VAT and deduction.

Does BelloPOS replace the bank account?

No. It secures sale and till events; banking, capital and accounting remain their own records.

What to take away

Real separation gives every dirham a route, nature, document and approver—including when it moves between business and owner.
