Free invoicing software in Morocco: what is free, and how far does it go?

Excel, Word templates, one-off generators, free tiers or licences: compare what is actually included before entrusting your numbers and archive.

Yes, a Moroccan business can start invoicing without a subscription. But free may mean a template to fill in, a limited tier, a service funded another way or a genuinely free licence. The useful question is not just “how much today?” but “which invoices, controls, archive and exit are included?”.

What is genuinely free

  • Word or Excel costs little initially but leaves numbering, controls and backups to you.
  • A one-off generator produces a PDF, rarely reusable structured history.
  • A free software tier may cover receipts while reserving invoices, XML or users for paid plans.
  • An official public portal, if available, does not automatically replace catalogue, stock, checkout, credits and accounting.
  • Correct fields and VAT do not become free merely because the button is free.
  • Calculate time, errors, backups, migration and data recovery before deciding.

1. Four meanings of free

Do not assume a free portal is universally open because a competitor’s article says so. The DGI 2025 report confirms development of the invoicing portal, but the cited passage publishes neither universal access nor the complete procedure for each business. Check your tax account and the official channel.


2. What does a “free” invoice really cost?

Give creation, checking, search and correction time a value. If an Excel invoice takes twelve minutes and an integrated flow takes three, nine minutes are consumed on every issue. Add duplicates, incorrect ICE details, numbering gaps, missing documents and the month needed to migrate when volume grows.

  • Issue time: Customer, lines, VAT, payment, checking and delivery.
  • Control time: Duplicate search, total reconciliation and number tracking.
  • Correction time: Credit note, customer explanation and accountant hand-off.
  • Archive risk: Lost computer, overwritten file, undated copy or untested restore.
  • Migration cost: Cleaning, import, checking, training and old-system retention.
  • Dependency cost: Data that cannot be exported or documents unreadable without an active account.

A simple example: one hundred monthly invoices with nine avoidable minutes represent fifteen hours. Multiply those hours by real internal cost, then compare with an annual fee or licence. This does not prove you must pay; it stops a two-day process being described as free.

Low volume changes the result. An auto-entrepreneur with five simple documents may prefer a controlled template. A shop converting sales into invoices, handling returns and supplying a monthly export loses the benefit of manual entry sooner.

3. Minimum checklist before using a free tool

Create a test file, not the first real invoice. Use a fictitious identity and check each point. The result must contain the mandatory fields relevant to your case; your accountant confirms regime and VAT.

  1. Create an individual customer, then a business with ICE.
  2. Add two lines, a discount and VAT rates suitable for the test.
  3. Move from draft to issue and observe when the number becomes final.
  4. Record a partial payment without changing the invoice total.
  5. Correct after issue through an appropriate trail rather than overwriting the file.
  6. Export PDF and data, then open both on another computer.
  7. Back up, delete the test copy and perform a complete restore.
  8. Ask how to retrieve all history if the free tier ends.

“Free and DGI compliant” contains two claims to prove

Ask what is free, to what volume and for how long. Then ask for the official text, schema, interface and evidence behind compliant. As at 29 August 2026, do not turn UBL 2.1 or an export queue into approval or a DGI connection.

4. When to remain free and when to move

Stay with a simple solution when volume is low, invoices are rare, one person controls the series and backups are disciplined. Write naming rules, protect formulas, keep a number register, produce non-editable copies and retain sources. Free works when a serious procedure replaces missing automation.

  • Remain free: Few documents, simple flow, one owner and tested backup.
  • Prepare migration: Rising entry time, slow search or fragile manual control.
  • Migrate now: Duplicates, gaps, overwritten files, repeated errors or unrecoverable data.

Move to an integrated tool when the same sale is re-entered, several people issue, rates and discounts multiply, credits become frequent, customer balances matter or the accountant needs a period pack. The signal is not invoice count alone; it is observable loss of control.

Moving does not require discarding old history. Choose a cutover date, freeze old series, export customers and documents, open the archives, import what is clean and run one month of double reconciliation. Never renumber old invoices to make two systems appear as one.

5. What free means in BelloPOS

Go and Pro do not submit directly to the DGI. They prepare and export; the merchant or accountant files through the available official channel. Mistakes to avoid

  • Downloading a template and leaving example identities or fields in place.
  • Copying the previous invoice and forgetting the number, date, customer or rate.
  • Keeping the only archive on the same computer as the working file.
  • Confusing a free receipt, an A4 invoice and a structured electronic file.
  • Entering confidential data into a generator with an unknown policy.
  • Waiting for loss of control before preparing exports and migration.

Frequently asked questions

Does genuinely free invoicing software exist in Morocco?

Yes. Some tiers are free and templates may cost zero. Read the scope: invoice or receipt, volume, export, backup, structured data and support.

Is Excel enough to make an invoice?

It can produce a readable invoice when fields and calculations are accurate. It leaves series, rights, corrections, audit and backup to the user.

Is a free PDF an electronic invoice?

It may be electronically created, but it is not structured merely because it is PDF. Follow the official definition and channel.

Will the DGI portal be free?

Do not base a decision on an assumption. Verify services, conditions and dates in official communications when they are opened to your category.
