The three ways to issue an invoice today

  • By hand or on a spreadsheet: It still works, but continuous numbering and ten-year archiving rest entirely on your discipline. It is the method that produces the most errors, and it will not survive the computerised-system obligation set by article 145-IX.

Issuing the invoice, step by step

The procedure, in order. It is the same whether you use software or not.

  1. Assign the next number in your single series, with no gap and no duplicate.
  2. Fill in your identifiers and the customer’s, including ICE if the customer is a business.
  3. Date the invoice to the day the transaction happened, not the day you got around to it.
  4. Itemise the lines: nature, quantity, unit price, pre-tax amount.
  5. Apply VAT and show separately the pre-tax total, the rate, the tax amount and the total including tax.
  6. State the payment method and references, plus the due date if payment is deferred.
  7. Send it to the customer and keep your copy, making sure it stays readable for ten years.

An issued invoice is not corrected by editing it. If you need to cancel or amend, issue a credit note carrying its own number and referencing the original. Deleting a row in a spreadsheet breaks the continuity of the numbering, and that is exactly what an inspection looks for.

The mistake that costs most

An incomplete invoice can be set aside in an inspection. Your customer then loses the right to deduct VAT on that purchase, and you usually lose the customer with it. What electronic invoicing really changes

The reform carried by article 145-IX of the tax code does not change the mandatory fields: it changes the medium and the route. An electronic invoice in the sense of the reform is a structured file, in a standardised format, sent to the tax administration’s platform for validation before it reaches your customer. It is not a PDF emailed over, even a signed one.

The practical consequence is reassuring: all the work you do today on your fields, your numbering and your archiving stays valid and will serve you. How long to keep your invoices

Article 211 of the tax code requires accounting records and invoice copies to be kept for ten years from the end of the accounting year concerned. That also covers till receipts and purchase documents. Digital archiving is accepted provided it guarantees the authenticity and readability of the documents.

  • One folder per accounting year, backed up in two different places.
  • File names containing the number and date, so you can find an invoice without opening everything.
  • A copy kept off the premises: a theft or a water leak usually takes the computer and the backup together.
