The template complements our Morocco quotation guide. It certifies neither your terms nor VAT and does not replace legal, tax or operational review.

2. Replace every fictional value

The Atlas Services example uses zeroed IDs, QUO-2026-0042, validity to 15/09/2026 and illustrative rates. These are conspicuous so nobody mistakes them for live data.

  1. Retain a blank original.
  2. Replace name, address, contacts and logo.
  3. Enter identifiers that really apply.
  4. Create exact customer record.
  5. Define reference, series, date and version.
  6. Choose explicit validity end.
  7. Replace every line, quantity, unit and discount.
  8. Validate rates, exemptions and rounding.
  9. Write deadline, payment, assumptions and exclusions.
  10. Review, export and retain sent version.

The workbook calculates net after discount, VAT amount and gross, then totals. Open it in your spreadsheet, force recalculation after changes and manually cross-check a sample.

3. Manage an offer with files

A file alone prevents neither duplicates nor overwriting. Name source with customer, reference and version; export PDF; retain sent copy; tie agreement evidence to its exact file or hash.

A correct formula proves neither the rate nor delivery. For final invoice, use the Morocco invoice template or controlled conversion.

A file does not create an audit trail

Word and Excel do not automatically show who changed a discount, which version the customer accepted or which invoice followed. Multiple users, frequent changes or many jobs quickly justify a register or software.

4. Check before sending

Recompose every line and compare gross to any amount in words. Focus on validity, performance time, included costs, exclusions and expected signer’s identity.

Open PDF on another screen and check columns, symbols, fonts and page breaks. Files delivered here were checked as two landscape A4 pages per language, but your changes can break layout.

Keep template separate from live offers and apply the same backup rules as your invoice archive.

5. When to move to BelloPOS Pro

The template helps you begin. Pro becomes safer when drafts, issue, statuses, conversions, partial deliveries, invoices and credits must stay in one lineage.

Mistakes to avoid

  • Issuing fictional example.
  • Leaving zeroed IDs.
  • Copying example rate.
  • Omitting validity date.
  • Changing formula without test.
  • Overwriting sent version.
  • Losing agreement evidence.
  • Presenting template as guaranteed compliance.

Frequently asked questions

Are the files free?

Yes. Download all three formats directly from this page.

Does Excel calculate discount?

Yes: quantity × price × (1 − discount), then VAT and gross. Check formulas, rates and rounding after edits.

Is the PDF fillable?

It is mainly a stable printable structure. Edit Word or Excel.

Can I keep the 20% VAT?

Only if validated for your real transaction. It is purely illustrative here.

Does the template number automatically?

No. Series, versions, rights and register stay manual.

When should I choose BelloPOS Pro?

When quotes, orders, delivery notes, invoices, credits, statuses and users must stay linked.

What to take away

Download the right format, replace every example, test calculations, freeze the sent PDF and file its acceptance. The template reduces entry; the procedure preserves evidence.
