Paid, partially paid or unpaid invoice: keep the right customer balance

Separate invoice total, payments, credits and amount due, then reconcile references and customer statement without editing revenue.

A MAD 6,000 invoice remains a MAD 6,000 invoice after a MAD 2,000 payment. Payment changes the customer balance, not the invoiced total. To know whether it is paid, partial or unpaid, retain every movement with date, method, reference and allocation; never type a new total by hand.

The equation to keep

  • Invoice total: issued and fixed value.
  • Payments: dated, referenced credits.
  • Credits: linked corrections, not payments.
  • Balance = invoiced debit − allocated payments − applicable credits.
  • Paid means zero balance after reconciliation.
  • Partial means positive balance with at least one payment.
  • Unpaid means no allocation or overdue under the tracking rule.
  • The statement must recompose every stage.

1. The four numbers in the file

Display invoiced total, paid amount, credits and balance separately. One editable “balance” field hides the source of a difference.

A credit corrects the receivable; payment settles it financially. Do not mix them in one category even though both reduce the balance.


2. Record a usable payment

“Paid” without date or reference is an opinion. A usable entry lets customer, till, bank and accountant discuss the same event.

  1. Choose the exact customer.
  2. Enter payment date and time.
  3. Choose cash, card, transfer, cheque or another validated method.
  4. Add bank or till reference.
  5. Enter the amount actually received.
  6. Allocate to the correct invoices under your rule.
  7. Prevent allocation above balance without explicit treatment.
  8. Issue a receipt or update the statement.
  9. Reconcile to bank/till statement.
  10. Retain user and correction note.

Transfer evidence is not always final bank credit; define when your procedure marks payment confirmed.

3. Statuses and due dates

Status should be calculated from movements, not freely selected. Add due date and ageing to distinguish an invoice not yet due from an overdue one requiring follow-up.

A deposit is an allocated payment, not a discount. The archive must retain invoice, payment, credit and evidence.

Do not mark paid from a screenshot

Check that money was received, belongs to the right customer and is reconciled to the right method. A screenshot, promise or pending cheque may have a provisional status, but should not erase the balance without a written rule.

4. Statement and reconciliation

The customer statement lists date, reference, debit, credit and running balance. Its total must equal movements, not a field edited to satisfy the customer.

Weekly, reconcile cash to the cash journal, cards to acquirer statement, transfers to bank and cheques to their state. Differences go in an incident list, never into an edited invoice.

Send the detail the customer needs while protecting data. Keep correction rights separate from collection rights.
